What is the grade submission system?
It’s OCR's new online system to submit centre assessment grades and rank orders.
Which qualifications do I use the grade submission system for?
You will use the grade submission system for all OCR general qualifications (GCSE, AS and A Level, Core Maths, FSMQ, Projects, Entry Level Certificates), Cambridge Nationals and Cambridge Technicals where you need to submit a centre assessment grade and rank order.

When do I submit my centre assessment grades and rank orders?
The submission window for GCSE, AS and A Level, Core Maths, FSMQ, Projects, Entry Level Certificates and Cambridge Nationals runs from 1 – 12 June.
The submission window for Cambridge Technicals runs from 8 – 26 June.
What web browser should I use to access the grade submission system?
The grade submission system is compatible with all web browsers except Internet Explorer.
What do I do if I’ve forgotten my password?
You can reset your password by clicking 'Log in' on the homepage and then ‘Forgot password?’.
What user roles are available in the grade submission system?
There are three user roles:
- Centre Admin – can enter centre assessment grades and rank orders, add and remove users and update Head of Centre details
- Teacher – can enter centre assessment grades and rank orders
- Head of Centre – can review and approve centre assessment grades and rank orders and submit to OCR
Centre Admin users have been set up by us using the Centre Administrator details transferred from Interchange. We have also set up the Head of Centre role using details provided on the NCN register.
How do I add a new user or update the Head of Centre details?

Can a user be set up with read only access?
No. You cannot set up users with read only access.
How do I remove other Centre Admin users?
- If the Centre Admin you want to remove is showing as ‘Pending’, you can delete them by clicking ‘Delete’.
- If the Centre Admin you want to remove is showing as ‘Confirmed’, you will need to contact OCR to amend their access.
Can I add a new Centre Admin user?
Only OCR can set up Centre Admin users on the grade submission system, you will need to contact OCR to add an additional Centre Admin.
Does the Head of Centre have to set themselves up on the system?
No. This has been done automatically using the data from the NCN register. The Centre Admin user can check and amend the Head of Centre details if required.
Can there be more than one Head of Centre on the system?
No. There can only be one Head of Centre.
Can the Head of Centre add new users?
No. The Head of Centre cannot add new users.
How do I enter my centre assessment grades and rank orders?
There are two options for entering your data – direct input or spreadsheet upload (CSV).
Do I need to enter our candidate details into the grade submission system?
No. The system is pre-populated with the centre number, syllabus/qualification code (the entry code), candidate number, candidate name and candidate date of birth.
You only need to enter the centre assessment grades and rank orders.
Can we change the format of the spreadsheet template?
No. You cannot change the order of the columns, the column headings or any of the pre-populated candidate data but you can sort the data within the spreadsheet in any order you prefer. You must upload the file as a CSV.
Can we upload all qualifications in the same CSV file?
No. Qualifications/subjects must be uploaded in separate spreadsheets.
We offer more than one OCR specification in a subject, how do we enter these?
For these subjects, if you have different students entered for different specifications, for example GCSE History A and B, they will be listed together in our grade submission system. This will enable you to supply one rank for each grade on the system. Please see further details here.
We offer the same subject with more than one awarding body, how do we enter our centre assessment grades and rank order for these?
The JCQ has now published guidance on how to provide a single rank order for these subjects. Grades and rank orders must not be submitted through the OCR grade submission system or other awarding body portals. Please see further details here.
Can we check our centre assessment grades and rank orders before submitting?
Yes. Any data you enter or upload into the system is saved automatically. This means other users can check the data you have entered or uploaded before submitting to OCR.
Once you have entered your data, you can download the spreadsheet template, which will show the centre assessment grades and rank orders you have entered. You can use this to support the checking processes in your centre.
What happens if the Head of Centre wants to make amendments to the centre assessment grades and rank orders before submitting to OCR?
If amendments are required, the Head of Centre can click ‘Send back for further review’. They then need to speak to the person who submitted the approval request so that they can review and amend the data before sending for approval again.
Can a Head of Centre approve and submit all qualifications in one go?
No, your Head of Centre will need to approve and submit each qualification individually. We recommend this is done as qualifications become available to approve.
Will we be notified when the Head of Centre approves and submits a qualification?
No. You can see the status of each qualification on the grade submission system Dashboard.
Will the grade submission system be available after the submission windows close?
Yes. The grade submission system will be available to access after the submission windows have closed in read only mode.
