The JCQ has published guidance on how to provide a single rank order for these subjects. Grades and rank orders must not be submitted through the OCR grade submission system or other awarding body portals.
The awarding body that you have the largest number of entries with will be acting as the ‘lead’ awarding body and will coordinate the centre assessment grade process for all the candidates of those particular subjects.
When and how do we need to submit the grades and ranks?
If you made the most entries with OCR for a particular subject, we will be in touch the week beginning 1 June to provide you with a pre-populated spreadsheet and instructions on how to submit your centre assessment grades and rank orders for the whole subject. If you made the most entries with another awarding body, they will contact you.
To allow you more time, the deadline for submitting grades and rank orders where you offer the same subject with multiple awarding bodies has been extended to 19 June.
How do we access and complete the spreadsheets?
The spreadsheet will be sent to you and returned to us through the secure system, Kiteworks. These must not be submitted through the OCR grade submission system.
Accessing the spreadsheets
As soon as the spreadsheet/s are available, you will receive an automatic email from Kiteworks. Click on the link in the email and follow the on-screen instructions to set up an account. If you already have access to Kiteworks then you will be able to login as normal. Your username will be your email address.
Once you have logged in, you will see a folder called ‘Download’ containing your spreadsheet/s and the Head of Centre declaration.
Entering and submitting your centre assessment grades and rank orders
You need to:
- Download the spreadsheet/s and the Head of Centre declaration.
- Enter the centre assessment grades and rank orders of all of your candidates regardless of the awarding organisation they are with. For guidance on how to do this, please see the OCR website (ocr.org.uk/supporting-you-during-coronavirus/).
- Send the spreadsheet to your Head of Centre to check and approve together with the Head of Centre declaration.
- Upload the completed spreadsheet back to Kiteworks to the folder called ‘Out’ with a completed Head of Centre declaration for each subject.
Please do not amend the column headings of the spreadsheets or the file names of the spreadsheets/Head of Centre declaration before uploading to OCR.
Do we need to add endorsement grades to the spreadsheet?
If you have any subjects with an endorsement on your spreadsheet from AQA, please enter the endorsement grade on the spreadsheet for the AQA candidates only (Endorsements are not ranked).
You do need to include the endorsement for OCR, Pearson or WJEC candidates as we are collecting endorsements in the usual way, for OCR candidates this is via Interchange.
What happens after we upload the spreadsheets to Kiteworks?
Once you have uploaded your completed documents, we will automatically remove them from the system so you will no longer be able to view and access them. We therefore recommend you keep a copy of the documents you have submitted to us.
When we have processed your files, we will email you to confirm we have received them. We will also be in touch if we have any queries about your data.
