What is the Grade Submission System?
It’s OCR's online system to submit teacher assessed grades.
Which qualifications do I use the Grade Submission System for?
In autumn 2021, the Grade Submission System is being used to collect unit level teacher assessed grades from 2020/21 for students who were part way through the course.
When do I submit my unit teacher assessed grades?
The submission window for Cambridge Nationals and Cambridge Technicals unit teacher assessed grades runs from 27 September 20201 – 8 October 2021
What web browser should I use to access the Grade Submission System?
The grade submission system is compatible with all web browsers except Internet Explorer.
What do I do if I’ve forgotten my password?
You can reset your password by clicking 'Log in' on the homepage and then ‘Forgot password?’.
What user roles are available in the Grade Submission System?
There are four user roles:
- Centre Admin: can set up and update additional users, enter teacher assessed grades and download the additional assessment material
- Additional Assessment Materials: can download additional assessment materials only. The role cannot view or enter teacher assessed grades
- Teacher: can enter and upload teacher assessed grades and send them to the Head of Centre for approval. This role can also download additional assessment materials
- Head of Centre: can review and approve teacher assessed grades and submit to OCR. Heads of Centre can also download additional assessment materials
Centre Admin users have been set up again this year by us using the current Interchange Centre Administrator details. Teacher and Head of Centre roles have not been removed from last year and will need to be checked and updated if necessary.
How do I add a new user or update the Head of Centre details?

Can a user be set up with read only access?
No. You cannot set up users with read only access for grade submission. However, you can set up users to view and download additional assessment material only by using the Additional Assessment Materials role.
How do I remove other Centre Admin users?
- If the Centre Admin you want to remove is showing as ‘Pending’, you can delete them by clicking ‘Delete’.
- If the Centre Admin you want to remove is showing as ‘Confirmed’, you will need to contact OCR to amend their access.
Can I add a new Centre Admin user?
Only OCR can set up Centre Admin users on the Grade Submission System, you will need to contact OCR to add an additional Centre Admin.
Does the Head of Centre have to set themselves up on the system?
No. This was done automatically last year using the data from the NCN register. The Centre Admin user will need to check and amend the Head of Centre details if required.
Can there be more than one Head of Centre on the system?
No. There can only be one Head of Centre.
Can the Head of Centre add new users?
No. The Head of Centre cannot add new users.
How do I enter my unit level teacher assessed grades?
There are two options for entering your data – direct input or spreadsheet upload (CSV).
Do I need to enter our candidate details into the Grade Submission System?
No. The system is pre-populated with the centre number, units, candidate number, candidate name and candidate date of birth.
You only need to enter the unit teacher assessed grades.
Can we change the format of the spreadsheet template?
No. You cannot change the order of the columns, the column headings or any of the pre-populated candidate data but you can sort the data within the spreadsheet in any order you prefer. You must upload the file as a CSV.
Can we upload all units in the same CSV file?
No. Units must be uploaded in separate spreadsheets.
Can we check our teacher assessed grades before submitting?
Yes. Any data you enter or upload into the system is saved automatically. This means other users can check the data you have entered or uploaded before submitting to OCR.
Once you have entered your data, you can download the qualification spreadsheet template, which will show the teacher assessed grades you have entered for that qualification.
Alternatively, if you want to check all the teacher assessed grades that have been entered for your centre, you can use the new centre grades report. This is available to download from the dashboard.
What happens if the Head of Centre wants to make amendments to the teacher assessed grades before submitting to OCR?
If amendments are required, the Head of Centre can click ‘Send back for further review’. They then need to speak to the person who submitted the approval request so that they can review and amend the data before sending for approval again.
Can a Head of Centre approve and submit all units in one go?
No, your Head of Centre will need to approve and submit each unit individually. We recommend this is done as units become available to approve.
Will we be notified when the Head of Centre approves and submits a unit?
No. You can see the status of each unit on the Grade Submission System dashboard.
Will the Grade Submission System be available after the submission window closes?
Yes. The Grade Submission System will be available to access after the submission window has closed in read only mode.
Using X (no teacher assessed grade) or U (unclassified)
If you do not have enough evidence to provide a teacher assessed grade for a candidate or a candidate was not due to complete the unit during 2020/21, you can put an ‘X’ in the grade column. They will not be issued with a result.
Do not use U (unclassified) if the candidate was not due to complete the unit or you do not have enough evidence for a TAG. U is used when the evidence shows the candidate does not meet the requirements for the lowest grade.

Cambridge Nationals only
All Cambridge National units with an entry for June 2021 and no corresponding certification/cash-in entry in June 2021 will be displayed within the grade submission system.
If you did not make unit entries, please email us at email@example.com. If you have already made your unit entries for June 2021, you do not need to make these again.
We claimed a qualification TAG for an Award (60 GLH) qualification in summer 2021, we now need to submit unit TAGs to use towards the Certificate (120 GLH), what do we do?
If you claimed a Cambridge National Award in June 2021 for a candidate, the units will not automatically show in the Grade Submission System for that candidate.
To request a unit TAG for the Certificate, please contact firstname.lastname@example.org with the candidate name, number and units you wish to submit. These will then be added to the grade submission system for you to add your unit TAGs.
Cambridge Technicals only
What candidates will show in the Grade Submission System?
For Cambridge Technicals qualifications, you will see all candidates with a qualification entry made since 1 August 2020. This may include those who have already completed the qualification.
What units will show in the Grade Submission System for Cambridge Technicals?
For candidates with a qualification entry made since 1 August 2020, you will see:
- all examined units with a unit test entry for June 2021
- all moderated units you have told us you would like added to the system (see below)
If you did not make unit test entries, please do this by 16 September. You will not be charged late fees for this unit test entry. If you have already made your unit test entries for June 2021, you do not need to make these again.
How do I tell you what moderated units we will be submitting?
By default, when you access the Grade Submission System, you will be able to see all moderated units for each qualification entry. For some qualifications, with many optional units, this could mean over 70 units would be displayed.
To simplify the grade submission process, we've created web forms so you can tell us the moderated units you'll be submitting teacher assessed grades for.
Please complete the forms by 16 September 2021 - you can access the forms from the home page of Interchange.
- You only need to complete the forms you have entries for.
- If you're not planning to submit teacher assessed grades for a unit you have entries for, tell us by selecting 'WE HAVE NO MODERATED UNIT GRADES TO SUBMIT FOR THIS SUBJECT'.
If you complete a form and need to make a change (for example to add another unit), please complete the form again. This will overwrite your previous response so please make sure you include all the units you want to submit.
If you do not complete a web form, all the available units for every Cambridge Technicals qualification you have entries for will be displayed within the Grade Submission System
What do we do for candidates not completing a unit or who have already completed the unit and are not resitting?
Please put an ‘X’ in the grade column and they will not be issued with a result for the unit.
If this applies to a large number of candidates, once you have added all candidates expecting a grade this summer, you can click the 'Set list as complete' button to assign an 'X' grade to all those candidates without a grade. See the OCR website for more details.
What is the 'Set list as complete' button for?
If you do not have enough evidence to provide a unit teacher assessed grade for a candidate or a candidate was not due to complete the unit during 2020/21, you can put an ‘X’ in the grade column. They will not be issued with a result.
If this applies to a large number of these candidates, you can click the 'Set list as complete' button. All the remaining candidates' grades will be set to X to indicate they have no grades for submission. You will be able to review the grades before you send to your Head of Centre for approval.
What do we do if we don't have any teacher assessed grades to submit for a unit that is included on the grade submission system?
If you do not have any teacher assessed grades to submit for a unit, the unit still needs to be submitted to OCR in the same way as the other units. Use the 'Set list as complete' button and submit the unit to your head of centre to approve.
